This article explains how to create visit reports in full detail. Learn how to add new reports with relevant observations, notes and attachments.

 

How to Create a Visit Report

Step 1.    Select the correct enterprise

            - Use the enterprise selector in the top-right corner to select the correct enterprise.


Step  2.    Navigate to the page Visit reports

            - Click on Knowledge in the main menu or Home page, then select Visit reports from the Sidebar on the left.


Step  3.    Click Add Visit report

            -  Click the button Add Visit report in the top-right corner of your screen.


Step  4.    Select the Date and Location

            - Select the correct date and location for your visit.


Step  5.    Select the persons who should receive the report by email

            - In the E-mail notification dropdown menu, you'll see all users that have permissions to see this company's visit                   reports, select the users that should be notified of the new report.


Step  6.    Enter a title for the report

            - Title your visit report with key details like week number, crop, concern level, and your name if useful.


Step  7.    Add your observations

            -   Add your observation(s) per scoutable to describe the current status, or click here to find out how.


Step  8.    Add General Notes

            - Use the General Notes section for a brief summary of the visit or any information that isn’t linked to a specific 

               observation.


Step  9.    Attach supporting images or documents (Optional)

            - if an image or document can not be linked to a specific observation, attach it to the General notes.


Step  10.    Click Save

            - Click Save to store and share the visit report.


Elements on the screen

On the page Visit reports, you see the following elements:

  • Page title: Visit report
  • Date: Date of your visit. 
  • Location: Customer location that was visited.
  • Title: Place to fill out the title for the Visit report. 
  • E-mail notifications: Dropdown menu with all users that are allowed to see visit reports for this enterprise.
  • General notes: The place to put down a short summary of the visit report. 
  • Attachments: The place to add images or any other file supporting the visit report.
  • Add observations: Click the button +Scoutable to add one or more observed scoutables to the visit report.
